Hotel WhatsApp replies to guest questions: ten ready replies you can save tonight
Guests ask the same handful of questions again and again: dates, rate, inclusions, timings, location, parking, pets, children, advance and photos. Write one complete reply for each, with the number, the condition and the next step, and save it in the WhatsApp Business app. Complaints, refunds and changes after payment still need a person.

The short answer: write each reply once, completely, and reuse it
If you run a resort or homestay, you already know the pattern. Guests ask about dates, rates, what is included, timings, location, policies and payment, usually in the evening and often in Hinglish. These are common questions, not a ranking or the result of a study.
A reply that gives the number, the conditions and the next step in one message ends the back-and-forth faster than three partial replies. 'Rate is ₹4,500' leads to 'with breakfast?' and then 'plus tax?'. One complete message answers all three before the guest asks.
You can save these replies as quick replies in the WhatsApp Business app, or put the same material into the knowledge base an AI agent answers from. Some chats will always need a person: complaints, refunds, changes after payment and large group bookings. The last sections cover those.
10 questions guests send, with a sample reply for each
Every reply below is written as 'a demo resort'. All rupee amounts, times, distances and percentages are example numbers that you must replace with your own. We have not stated any tax rate. Whatever your tax position, say plainly in the reply whether the rate includes taxes or not, so the guest does not find out at checkout. Each reply ends with a next step.
| Question | What the guest usually types | Sample reply (demo resort) |
|---|---|---|
| Availability for dates | Kal room milega? / 20-22 Dec rooms available? | Thank you for writing to Demo Resort. Please share check-in and check-out dates, adults, children and rooms, and I will confirm availability. |
| Rate and taxes | Price kya hai? / Rate per night? | Deluxe room is from ₹4,500 per night for 2 adults, with breakfast (example). Taxes: [say included or extra]. Share dates and guests for an exact quote. |
| What is included | Breakfast included? / Meals? | Rate includes breakfast for 2 adults, 8:00 to 10:00 AM. Lunch or dinner is ₹600 per person extra (example). Share dates and I will send the full quote. |
| Check-in and check-out | Check-in time? / Early check-in possible? | Check-in is 12:00 PM, check-out 11:00 AM (example). Early check-in depends on the previous night's stay. Share your dates and arrival time and I will note it. |
| Location and how to reach | Location bhejo / Nearest station? | We are about 40 km from the nearest railway station, roughly 1 hour by road (example). Sending our location pin now. Tell me where you travel from and I will suggest the route. |
| Parking | Parking hai? / Can we bring our car? | Yes, free parking for up to 10 cars (example). Tempo travellers use the outer lot. Share your vehicle type and arrival date and I will note it. |
| Pets | Pets allowed? / Dog le aa sakte hain? | Small pets are allowed in garden-facing rooms at ₹500 per night (example). Please bring their bedding. Share your dates and pet details and I will check a room. |
| Children and extra bed | Bacchon ka charge? / Extra bed? | Children under 5 stay free without an extra bed. Ages 5 to 12 with an extra bed: ₹1,200 per night (example). Share children's ages and I will add it to your quote. |
| Advance and cancellation | Advance kitna? / Cancellation policy? | To confirm, we take 30% advance by UPI (example). Free cancellation up to 7 days before check-in; after that the advance is not refundable. Share dates and I will send payment details. |
| Photos and room types | Photos bhejo / Kaunse rooms hain? | Sending photos of our Deluxe, Family and Cottage rooms below (example names). The Family room sleeps 4. Tell me your guest count and dates and I will suggest a room. |
Copy the table into a document, replace every example number, and read each reply once as if you were the guest. If a reply leaves a question open, add the missing number or condition now.
How to write a reply that ends the back-and-forth
The first reply to a new enquiry should ask for dates, number of adults and children, and number of rooms. With those three details, your next message can be a firm quote instead of another question. That is why the sample replies above all end by asking for dates and guests.
Compare a weak reply with a complete one for the same question, 'Price kya hai?'
- Weak: 'Rate is ₹4,500.' The guest still does not know if it is per room or per person, whether breakfast is included, or whether tax is extra.
- Complete: 'Deluxe room is ₹4,500 per night for 2 adults, with breakfast. Taxes are extra. Share your dates and number of guests and I will send an exact quote.' (Example numbers.)
Keep each reply short enough to read on a phone without scrolling much. Send photos or a location pin instead of describing the rooms or the road in words. And describe what the guest gets from the reply rather than promising outcomes. 'I will confirm availability for your dates' is a statement you can keep. 'You will love it here' tells the guest nothing.
Replying when guests write in Hinglish or Hindi
Guests write the way they speak. 'Kal room milega?' means 'Will a room be available tomorrow?' 'Price kya hai?' means 'What is the price?' 'Bacchon ka charge kitna hai?' means 'What do you charge for children?' If the guest writes in Hinglish, reply in Hinglish. If they write in English, reply in English.
Here are Hinglish versions of three sample replies. They carry the same numbers and conditions as the English ones, and all amounts are example numbers.
- Availability: 'Namaste, Demo Resort mein aapka swagat hai. Kripya check-in aur check-out ki date, adults, bacchon aur rooms ki sankhya bhej dijiye. Hum availability confirm kar denge.' (Please share your dates, adults, children and rooms, and we will confirm availability.)
- Rate: 'Deluxe room ₹4,500 per night se shuru hai (example), 2 adults ke liye, breakfast ke saath. Tax [included ya extra batayiye]. Exact quote ke liye dates aur guests bata dijiye.' (Deluxe room from ₹4,500 per night for 2 adults with breakfast. Taxes: say whether included or extra. Share dates and guests for an exact quote.)
- Advance and cancellation: 'Booking confirm karne ke liye 30% advance UPI se lete hain (example). Check-in se 7 din pehle tak free cancellation hai; uske baad advance refund nahi hota. Dates bhejiye, hum payment details bhej denge.' (30% advance by UPI; free cancellation up to 7 days before check-in; after that the advance is not refunded.)
Keep the numbers and policy wording identical across languages, so a guest who gets the Hinglish reply and a friend who gets the English reply are quoted the same thing. If you want an agent to do this language matching for you, see the Hinglish WhatsApp chatbot page.
How to save these replies in the WhatsApp Business app tonight
These steps follow WhatsApp's own quick replies page in the Help Center, as we read it on 5 November 2026. Menu names can differ slightly between Android and iPhone and can change, so follow what you see on your screen if it differs.
- Open Quick repliesIn the WhatsApp Business app, go to the Tools tab and tap Quick replies. On some Android versions the same screen sits under the menu and Business tools.
- Add a new replyTap Add (the plus sign), then tap Message and type the reply. You can also add images or videos.
- Set the shortcutTap Shortcut and type a short keyword you will remember, for example 'rate' or 'parking'.
- SaveTap Save. Repeat for each of your ten replies.
- Use it in a chatOpen a chat, tap the message box and type '/'. Your quick replies appear, including a few the app creates itself from your business profile. Pick one and it appears in the text box. You can edit it there before you tap Send.
- Or use the paper clipIn a chat, tap Attach (the paper clip), then Quick Replies, and select one.
The Help Center says you can store at most 50 quick replies. It gives no limit on the length of a reply or a shortcut, so we will not quote one. It also says media in quick replies does not work on WhatsApp Web or Desktop. The page explains how to delete a saved reply (open Quick replies, tap the reply, tap Delete) but does not describe editing a saved one. If you cannot find an edit option on your phone, delete the old reply and add the new version.
Two more tools help at night. As of November 2026, WhatsApp's Help Center says a greeting message is sent automatically the first time a customer messages you, and again if they message after 14 days of no activity in that chat. To set it up, open Tools, tap Greeting message, turn on Send greeting message, edit the text, tap Save, then choose Recipients. This is from WhatsApp's greeting messages page.
An away message tells customers you are busy or away. As of November 2026, the Help Center steps are: from Tools, tap Away message, turn on Send away message, edit the text, then tap Schedule. You can choose Always send, a Custom schedule, or Outside of business hours. The last option is only available if you have set business hours in your business profile. Choose Recipients and tap Save. See WhatsApp's away messages page. Both greeting and away messages need your phone to have an active internet connection.
Be honest about what this setup does. Someone still has to read each message and choose the reply. A guest who writes at 11 PM gets your away message, which can tell them when you will reply, but not an answer to their question, unless someone is awake. Quick replies save typing. They do not answer for you.
Questions that should go to a person, not a saved reply
A saved reply is the wrong tool when the guest is upset, when money has moved, or when the request does not fit your standard answers. Send these to a person:
- Complaints about a stay, food, cleanliness or staff.
- Refund requests.
- Date or name changes after payment.
- Group, wedding or corporate bookings.
- Special requests such as accessibility needs or celebrations.
- Anything involving a payment dispute.
Whoever takes over should see the full chat, the dates and the guest count already shared, so the guest does not have to repeat anything. Repeating details is what makes a handover feel like a brush-off.
Save a short holding reply for these chats, for example: 'Thank you for telling us. I am passing this to our manager, who will reply to you personally. Your dates and details are already noted.' Do not add a time unless you can keep it.
With SALIQ, your team takes over any conversation from the shared inbox. The SALIQ Android app puts the same conversations on your phone, so you can step in, reply and hand the chat back from anywhere.
What an AI agent does with the same questions: a sample conversation
Saved replies are the manual version of this. The next step is an agent that reads the guest's message, picks the right answer and replies on its own. The conversation below is a sample with a demo resort, not a real customer. Notice the time, 10:42 PM, and that the guest writes in Hinglish.

The agent answers from the same material you just wrote: rates, rooms, FAQs, policies and documents, set up once. That is why the work in this post is not wasted if you later move to an agent. The ten replies above are the starting content for it.
If your hotel runs on eZee Absolute, the agent can answer WhatsApp guests from the rooms free and the prices eZee shows. See the eZee Absolute WhatsApp integration for details.
Frequently asked questions
Should I put prices in an automatic reply, or ask for dates first?
Give a starting rate with its conditions and ask for dates in the same message. A guest who gets only a question may leave. A guest who gets only a bare price will ask follow-ups. 'From ₹4,500 per night for 2 adults, breakfast included; share your dates for an exact quote' covers both.
Can I use these replies after a guest's last message is more than 24 hours old?
It depends on how you send them, and the rules differ once a chat has been quiet for 24 hours. We explain them in how to message a customer after 24 hours on WhatsApp. Read that before you plan any follow-up to a quiet chat.
Do quick replies work in Hindi?
WhatsApp's Help Center page on quick replies does not mention any language restriction, but it does not confirm Hindi specifically either. Save one reply in Hindi or Hinglish with a shortcut and test it in a chat with a teammate before you save all ten.
How often should I update saved replies?
Update them whenever rates, seasons or policies change, so every quote stays accurate. A reply with an old rate or an old cancellation rule is worse than no saved reply, because the guest will hold you to it.
